Why a time clock app, not a device?
Classic time clocks have existed since the 1880s — a box on the wall, a badge reader, a cable to the fuse box. For modern employers with small teams, that model is outdated. The smartphones your employees already carry replace the entire hardware stack.
No purchase needed. A biometric time clock costs €500 to €2,000 per device, with separate hardware per location. A time clock app runs on existing phones — €0 to start.
No installation needed. A physical time clock requires a technician, a power supply, a network cable and often a wall bracket. The TimeTic app downloads in under a minute and is ready to use immediately.
No per-location cost. Do you have employees across multiple addresses — construction sites, branches, client locations? With classic hardware, you pay per location. With an app, you have a single subscription and unlimited locations.
No replacement cost. Badges get lost, devices fail after a few years, firmware falls behind. With an app, you get automatic updates and lost access is restored in ten seconds.
Three ways to clock in with the app
TimeTic combines three clock-in methods in one subscription. You choose per employee or per location what fits best.
1. Personal phone — for mobile teams
Employees install the TimeTic app on their iPhone or Android, log in once and then clock in with a single tap. Ideal for cleaning staff, home care, couriers, construction crews, cleaning companies, carpenters and any teams moving between sites or client locations. Optionally the app registers the GPS position with every clock-in, so you can verify afterwards that the employee was actually on site.
2. Shared tablet — for one fixed location
Mount a single tablet on the wall or place it on the counter. Each employee taps their personal PIN code and clocks in. No badges, no app on phones. Suitable for shops, restaurants, sandwich bars, hair salons, garages and offices with one fixed address. Hardware cost: a basic Android tablet at €100 is enough.
3. QR code — for businesses with no app installation
Print one QR sticker per location and stick it near the entrance. Employees scan the code with the standard camera app on their smartphone — no TimeTic app required. Works on any device with a camera, including older models. Ideal if some employees prefer not to install anything or if you have temps and seasonal workers.
What the TimeTic app does
- Clock in/out in 3 seconds via QR scan, PIN code or a tap in the app
- Break tracking automatically per the applicable labour law
- Live attendance dashboard — see in real time who’s working, on break or absent
- GPS verification optional per worksite, with adjustable radius around the location
- Offline mode — clock-ins stored locally and synchronised once the network returns
- Correction management with visible audit log and mandatory reason
- Monthly PDF and CSV exports ready for the payroll provider or accountant
- Push notifications when an employee forgets to clock out or exceeds working hours
- Multiple languages — English, Dutch, French, German and Spanish in the same app
- Accessible to the employee — every worker consults their own hours in the app
Secure and GDPR-compliant
A time clock app processes personal data — name, working hours, sometimes GPS coordinates. TimeTic is fully GDPR-compliant for the European market.
EU hosting. All data is stored on European servers within the EEA. No US cloud, no export outside the European legal area. That also rules out Cloud Act exposure.
Encryption. Data is encrypted at rest and in transit (via TLS 1.2 or higher). Passwords are stored as hashes per current industry standards.
Immutable audit log. Every action — a clock-in, a correction, a deleted user — is logged with timestamp, author and reason. The audit log cannot be edited, only extended. This satisfies the objectivity and reliability requirements of the European Court of Justice (judgment C-55/18).
Adjustable retention period. The employer decides how long old records are kept, with a default recommendation of 5 years in line with the Belgian limitation period for wage claims.
Accessible to the employee. Every worker has the right to consult their own time record — TimeTic grants this by default via the app. This satisfies the accessibility criterion of European case law.
App vs. classic time clock
| Classic time clock | TimeTic app | |
|---|---|---|
| Hardware cost | €500–€2,000 | €0 |
| Installation | Technician required | App download |
| Maintenance | €50–€200/year | Included |
| Multiple locations | Extra per location | Unlimited included |
| Legislation updates | Often paid extra | Included, automatic |

Legally, both solutions are subject to the same three criteria: objectivity, reliability and accessibility. Both can meet them — but the hardware solution quickly costs €1,500 to €3,000 more per location over five years. For the Belgian mandatory registration coming into force in 2027, an app is therefore both cheaper and faster to deploy.
Frequently asked questions
Does the app work without internet?
Yes. TimeTic has an offline mode: if the employee has no network, the clock-in is stored locally on the phone and synchronised automatically as soon as wifi or mobile data returns. The timestamp of the actual clock-in moment is preserved — not the moment of synchronisation.
Can an employee cheat by clocking in for a colleague?
The risk is heavily limited by three layers: GPS verification checks that the clock-in happens at the worksite, every employee has a personal PIN code or app login, and every action is recorded in an immutable audit log. For small teams, buddy punching becomes virtually impossible.
What if the employee forgets their phone?
Two fallbacks: a shared tablet at the entrance lets everyone clock in with their personal PIN, or the employee simply scans the QR sticker using a colleague’s phone camera. The employer can also correct manually afterwards, with a visible audit log.
Does every employee need to install the app?
No. The QR mode works with the standard camera app on any smartphone — nothing needs to be installed. The TimeTic app is only required for employees who also want to view their schedule or hours on their phone.
Does it work on an old smartphone?
The TimeTic app requires iOS 15 or later (iPhone 6s and newer) and Android 9.0 or later. Devices from before 2016 are not supported. If you have an older device, the QR mode via the camera app remains a full alternative.
